Creating Jobs

Introduction

Here's how you can create a job for your clients, follow the simple easy steps below to create jobs.

How to Create a Job

Step 1: Click on Clients > Manage Clients.



Step 2: Under the Action column, click the three-dot icon and select Create a Job.



Step 3: Provide job information such as client name, SMSF ID, mapped accountant, financial year, preparer, manager, and reviewer.
Step 4: Click Create Job.



Step 5: Your job will be successfully created, and you can then import lead schedules or manage documents using the respective buttons.


How to Create Bulk Jobs

  1. The Bulk Jobs feature streamlines the process of creating jobs for multiple clients within a financial year. 
  2. This allows you to select up to 50 clients simultaneously and generate jobs for them with just a few clicks. 
  3. One of the notable advantages of this feature is the automatic assignment of job roles (preparer, manager, and reviewer) based on data from the previous year's jobs. However, these assignments can be customized if necessary. 
  4. Additionally, the Bulk Jobs feature automatically generates Document Management System (DMS) folders for the created jobs. Below are the detailed steps to create jobs in bulk:
Step 1: Navigate to the Clients Manage Clients page.



Step 2: Now click on the Create Bulk Jobs button.



Step 3: Select the Latest Previous Year's Job




OR

Step 3: If no previous year's job exists for a selected client, you can choose NA

Step 4: Now click on the Filter button.



Notes

Note: This will Filter the clients for which you want to create jobs in bulk. 


Step 5: Use the available checkboxes and select the clients, then click Next to confirm the bulk job details and job assignees.

  1. The roles of preparer, manager, and reviewer are automatically filled based on the assignees listed in the previous year's job. 
  2. You can modify the assignees either in bulk from the top taskbar or individually by updating each role at the job level below from the available drop-down. 

Step 6: Click on Apply to reconfirm the bulk job's financial year and job assignees.

Step 7: Finally, click on the Create Bulk Jobs button to proceed.




Step 8: Confirm your action by clicking on Create Bulk Jobs again. 



  1. Please note that the processing time may vary depending on the size and number of jobs. 
  2. You will be notified via email once the jobs have been created.
  3. The email notification will provide a summary of jobs created successfully and any failed job creations. 
  4. You can refer to the attached report for more detailed information. 
  5. For any jobs that failed to be created, you can rectify the error by consulting the "Reason for Failure" column in the attached report and then creating those jobs again. 
  6. This feature simplifies and accelerates the process of job creation for multiple clients, enhancing efficiency and accuracy.
