Enhancements to Document Sharing and ACC

Introduction

This release introduces enhancements across Workpapers Sorted and the ATO Command Centre, designed to improve document sharing, client communication, and data availability.
These updates include automatic and manual TFN redaction when sharing documents, the ability to send emails using the firm’s own email address, and automatic overnight refresh of ATO-related data.

TFN Redaction at Document Sharing

Workpapers Sorted now provides an additional layer of protection, when sharing documents that may contain Tax File Numbers (TFNs).
When a document containing a TFN is shared externally, a redacted copy can be shared with the TFN removed, while the original document remains unchanged in Workpapers Sorted.

Automated TFN Redaction

Workpapers Sorted now allows users to share a redacted copy of documents containing Tax File Numbers (TFNs). The TFN is removed from the shared copy, while the original document remains unchanged in Workpapers Sorted.
  1. When sending the document by email, select the checkbox to send only the redacted copy.
  2. To send the original document, clear the checkbox before sending.

NotesNote- There may be situations where an authorised user needs to share the complete TFN, In such cases, users can explicitly choose to share the document with the full TFN when required.
  1. If you clear the checkbox, a confirmation pop-up will appear before sending the original, unredacted document.
  2. Select the checkbox to confirm that the recipient is authorised to receive the information, and then click Send.


Supported Documents for Automated TFN Redaction

Automated TFN redaction is currently supported for the following document types:

  • Notice of assessment-Company or Fund-EFT refund

  • Notice of assessment-Company or Fund-Payment due

  • Notice of assessment-Individual or Trust-EFT refund / Payment due

  • Penalty notification-Failure to lodge

  • Income tax-Individual-Tax receipt

  • Payment summary-Interest withholding tax

  • Lodgment-Overdue-Lodge now

  • Lodgment-Overdue-Reminder

  • Statement of account-Possible refund

  • Notice of assessment-Individual or Trust-Payment due

  • Indirect tax-Notice of assessment

  • Indirect Tax NOA/NOAA

  • Penalty payment-Administrative penalty incurred

  • Income discrepancy finalisation letter

  • Notification of a mistake in your income tax return

NotesNote- Automated TFN redaction is currently available only for the document types listed above. Support for additional document types will be introduced in future releases.

Manual Redaction

When sharing a document externally, the TFN will be automatically redacted from the shared copy by default, but you can also manually redact additional sensitive information from the document, using Modify Redaction.
  1. Click Modify Redaction to manually redact additional information from the document.

  1. Review the document and apply the redactions as required.
  2. Click Save to save the updated redactions. 

Notes
Note- The redaction is applied only to the copy that is being shared. The original document stored in Workpapers Sorted remains unchanged, ensuring that the firm's source documentation is preserved.

  1. After saving manual redaction, select suitable template and tick the checkbox to send only the redacted copy.
  2. To send the original document, clear the checkbox before sending.

ACC - Allow Firms to Send Emails from Their Own Email Address

The ATO Command Centre now allows firms to send client communications using their own email address or shared mailbox. This enables practices to send communications directly from their preferred firm email address.

Email Integration

Firms can now configure their email settings within the ATO Command Centre, and select the mailbox they want to use; when sending communications.


Supported Email Configurations

The email integration supports multiple configuration options, allowing firms to connect their existing email services:

Microsoft 365

Firms can connect their Microsoft 365 account and send emails using Personal mailbox, Shared mailbox or Team mailbox.

                     
  1. You can also change the Microsoft account, or switch the service provider after integration.

                  

  1.  Additionally, you can disable the integration anytime.
                

Google Workspace

Firms can connect their Google Workspace account and send emails using, individual Gmail account and Shared inbox.



Notes
Note- For the required App Password while configuring Gmail, ensure that 2-Step Verification is enabled on the Google Account. You can then generate an App Password from the Google Account security settings and enter the generated 16-character code as the password during the email configuration.  

                        

Email Sending Behaviour:
Once a mailbox is configured, emails sent from the ATO Command Centre will use the selected firm email address as the sender.
Client replies will also be directed to the configured email address, allowing firms to manage the conversation directly from their existing email system.


Additional Configuration

Firms can configure the mailbox according to their communication requirements.
Available options include:
  1. Firm default mailbox
  2. Shared mailbox
  3. User-specific mailbox

ACC - Automatic Overnight Refresh of Data

The ATO Command Centre now automatically refreshes ATO-related data overnight, ensuring the latest available information is ready at the start of each working day. This includes updated communications and due dates, without requiring users to manually refresh the data.

Automatic Data Refresh

ACC will automatically refresh data through a scheduled background process during off-peak hours (at around mid-night).



Data refreshed includes:
  1. ATO Communications
  2. Managed Due Dates
  3. Client Obligations

Last Refreshed Information

A Last Refreshed indicator will be displayed within ACC to show when the data was most recently updated.
This provides visibility into the accuracy of the information available in ACC.



Notes
Note- The automatic overnight refresh does not replace the existing manual refresh option, users can still manually refresh the data when they need immediate updates.

Data Refresh Failed

If the refresh fails, an indicator will appear on the Sync With ATO tab, clicking on this indicator will display additional details. Click Retry Sync to sync the data only for the clients whose information was not successfully refreshed.
