Labels


This newly added function enables jobs to be indexed in a flexible format, the indexing can then be used to filter within Queues and Reports. 

Creating Labels - Administrator users only

We have added a new option within the Admin drop-down menu



Once selected, the below table will open and you can click the create label button, you can create up to 10 active labels, we have created 4 as a default but these can be deleted to create your own.



Once selected the below pop-up will appear, enter the desired details within the allowable maximum characters, and click save. As you can see from the above examples, a description is not mandatory and can be left blank.

Note: Label names cannot be duplicated for active labels.


IMPORTANT NOTE:
Labels cannot be edited once created, if an error occurs simply delete and recreate. Any deleted labels can still be used for filtering and reporting in future so if you require different labels in future you will not lose the history of the previous labels. There can only be 10 active labels at a time but there is no limit to the total number of labels created. 

Default Labels


Minumum of 2 Labels

Due to the structure of the label logic, there must always be 2 existing labels at a time. If you decide to remove our default labels, you will have to create replacements 1st. An error will appear if you attempt to delete a label with less than 2 existing. 

Maximum of 10 labels

As mentioned previously within this guide, there can only be 10 active labels at a time. Once 10 are active the option to create label will become inactive until a label is deleted. 



Deleting a label

To delete a label, simply click the trash icon to the right of the label, once selected a warning will appear as per below indicating that the deletion is final and cannot be recovered. There is also an option to delete in bulk, simply click multiple boxes and a trash icon will appear in the the top left of page.

As the message states, any jobs that had these labels added previously will keep them and the filter and reporting options will always be available for these. 

Adding a Label

To add an existing label to an audit job we have provided options on the Fund Dashboard and the My Audit Job queue

Adding Label from Fund Dashboard 

The option to open the label menu is located beneath the Risk Matrix result within the top middle section of your Fund Dashboard;


Once the edit option is selected the below slide will appear on the right, simply click the boxes next to the label that are appropriate for the fund and click save. New labels cannot be created from within this slide, only administrators have access to create new labels from the Admin menu.


Adding Label from My Audit Job Queue

The option to add labels from the My Audit Job queue is within the 3 dot menu on the right of each job, once selected the slide will appear similar to when label is opened from fund dashboard;


Filtering by Labels in Job Queues

The My Audit job Queue (all active jobs) & Completed Audit Job Queue, have a new filter to filter by labels. You can combine this filter with all other filters and select as many labels as required. When you click on Label, a drop down menu will appear, once selected the label is added and the drop down menu stays open so you can select more labels if required. When you have completed your choice select filter and we will refine the results;
NOTE: If a label does not appear to choose within the My Audit Job queue drop down menu, it is because there are no active jobs with that label added (this applies for active and deleted labels). Within the Completed Audit Job Queue however, ALL labels will be available, including those which have been deleted.



Label Display within Queues

We have added a column to reflect the labels that have been added to the job, due to space restrictions we will show 1 label added but if there are multiple this will be reflected by a number within an icon. To review which labels have been added you can click the icon and all labels will show;

Filtering by Labels in Audit Job Report

While generating an Audit Job Report you can now include Labels as a filter criteria, if you do not enter label filter criteria and generate a Detailed Report: A column will be added to the report for every active label and the label will of course populate in the appropriate cell if it was used for the job. If you do select label(s) as a filter the report will only include label columns that match your filter criteria, if a job that matches your filter criteria has additional labels these will also populate onto your report so a column will be added.

In addition to the Job Dashboard and the Job Queues mentioned previously, labels are also visible in the below areas;

Portal Dashboard

If any of your last 5 jobs have had labels placed on them these will also display

Clients details

Displays identical to the Queues with expanding icon for jobs with more than 1 Label


Job Shortcut Menu

We are not limited by size in this menu so all labels will list. Clicking the edit option will open the label menu and labels can be added or removed from here.


Points of note

  1. Labels are not visible on connected portals and are only available to Cloudoffis subscribers
  2. Labels will not appear within PDF Audit File Summaries 
  3. Re-importing Lead Schedule will not impact labels added to the job, even if the Delete Existing Data option is selected
  4. Creation and deletion of labels is tracked with a timestamp within Recent Activities of Portal Dashboard
  5. Adding or deleting a label within a job is tracked in the Recent Activities of Fund Dashboard
