Multi Factor Authentication - Tax Sorted

Introduction

MFA (Multi-Factor Authentication) is a security technology that requires multiple methods of authentication from independent categories of credentials to verify a user's identity for a login process or other transactions. Multi-factor authentication combines two or more independent credentials: what the user knows, such as a password; what the user has, such as a security token; and what the user is, by using biometric verification methods.

Note:- MFA is not mandatory, and users can opt-in any time, and disable it later if desired. 
  1. Cloudoffis provides three different options for MFA to provide flexibility for users using multiple devices:
    1. Authenticator App
    2. SMS Authentication
    3. Email Authentication

Note:- You can use one or more of these MFA options. Setting up more than one will provide you with alternative methods of logging in and better security.
Follow the steps given below to Enable and understand how MFA works in Tax Sorted. This option is available for manually created staff who are not using Xero XPM to login to Tax Sorted

How to Enable MFA

Step 1: Login to your account and click on your Profile and select Profile once again from the appearing menu.



Step 3: Now click on Multi-Factor Authentication tab.



Step 4: Choose the MFA options which you want to activate from the available ones and follow the instructions given below.



Authenticator App

The first option is to scan a QR code provided, using Google Authenticator or Microsoft Authenticator.

Note:- Setup can also be done via a desktop/browser authenticator you choose.
Step 1:- Click the Enable button underneath the Authenticator App option.



Step 2:- Scan the code displayed on your screen with the authenticator app of your choice, or add the code manually into the app, then click Next.



Step 3:- Then, enter the Authenticator Code generated by your app along with your Tax Sorted Password. Once done, click on Verify Code.



Step 4:- You will receive a confirmation toast message at the bottom of your screen.



SMS Authentication

Second option available is to receive a one-time OTP via text message.
Step 1:- Click on the Enable button underneath the SMS Authentication option.



Step 2:- Enter your Country to automatically generate the Country Code then enter your Mobile Number, then click Send Code.



Step 3:- You will receive a text message with an OTP code.



Step 4:- Enter the Text Code received in the message, along with your Tax Sorted login password, then click Verify Code.

Note: If you haven't received the Code or if it has been expired for some reason, you can click on resend code.



Step 5:- Once the code is verified, you will receive a confirmation toast message at the bottom of your screen and SMS Authentication will be enabled.



Mail Authentication

The third option available is to receive an email on your registered email address with a verification code.
Step 1:- Click the Enable button underneath the Email Authentication option.



Step 2:- Click Send Code from the appearing screen.



Step 3:- You will then receive a verification code on your registered Email ID



Step 4:- Use that code with your login password and click on Verify Code to process forward.



Step 5:- Once done you’ll receive a confirmation text.



Login Process With MFA Activated

Step 1: Enter your Login ID and Password and click on Sign In.



Step 2: With MFA enabled, you will be asked for a verification code. Once entered, click on Verify Code.



Step 3: You will be successfully logged into Tax Sorted.



Notes
Note:- If you have more than one method enabled, e.g., Text and email, you will receive different codes for each method. Either code will be valid for three minutes after the code is received. If you are using an authenticator app, the expiry period for codes is shorter depending on the app used.

Disable MFA

To disable one or more of the MFA options, follow the steps given below:
Step 1:- Click on Profile icon and once again on Profile.



Step 2:- Click on the Muti-Factor Authentication tab.



Step 3:- You will then be presented with the various MFA options. Click the Disable button for the MFA option you wish to turn off. 



Step 4: Click on Yes to confirm the action from the appearing pop-up. 



The relevant option will be disabled and you will receive a confirmation toast message. You will have an Enable button, instead of Disable.
