Introduction
- The first step after you get your Auditomation account ready is to add your staff and assign them their roles and give permissions.
- There’ll be only one staff member initially which is Company Admin and the others can be then added using the following process.
How To Create New Staff
Step 1:- Login to your Auditomation account and click on Admin > Staff.
Step 2:- Click on Create New Staff from the appearing page.
Step 3:- From the appearing page, add the necessary details in the given fields, like Role, First and Last Name, Email and Confirm Email, and Notes(if any).
Note:- If the Role is selected as an Auditor then, ASIC Auditor No, Professional Body Membership, Phone Number, and Postal Address are a few extra fields that are added and are compulsory to be filled.
Step 4:- Once all the required fields are filled, click on Create New Staff. You will now receive a confirmation message and staff will be successfully created.
Your staff will now be listed on the Staff Dashboard and you can Suspend, Edit and Activate your staff from there itself. You can also use a filter to view only Active, Suspended, or both.
How to Grant Roles and Permissions
Step 1:- Login to your account and click on Admin > Staff.
Step 2:- Click on Roles and Permissions from the appearing page.
Step 3:- On the appearing page, click the checkbox to grant permissions for different actions to the specific roles.
Step 4:- Once done, hit Save.
How to Edit Staff
You can change roles for your staff by editing the staff details through the steps given below.
Step 1:- From the home page, click on Admin > Staff.
Step 2:- Now click on the Edit icon under the Action column for the staff member you want to edit.
Step 3:- A sliding window will open and from there you can change the Role, First Name, Last Name, and Email ID. Once you have made the changes, click on Update Staff.
Note:-
- Only a Company Admin has the authority to change the role of a company admin and assign someone else as a Company Admin. However, anyone with the Manage Staff permission granted through Roles and Permissions can edit and modify the roles of other staff members.
- If you're changing any other Role to Auditor, it will be a compulsion to fill in details like ASIC Auditor No, Professional Body Membership, Phone Number, and Postal Address to successfully change the Role.
- Only the Role of the Company Admin can not be changed and it is compulsory for Company Admin to be an auditor and fill in all the necessary and compulsive details of an auditor.
How to Suspend Staff
If you no longer need any of your staff members, you can simply suspend them by following the given steps below:-
Step 1:- From the home page, click on Admin > Staff.
Step 2:- Now click on the Suspend icon under the Action column for the staff member you want to edit.
Step 3:- A pop-up will appear, you can click on Yes to further continue and suspend the staff.
Step 4:- You will now receive a confirmation toast message at the bottom right corner of your screen.
Note:-
- If you now want to view the suspended staff you will have to select the Suspended checkbox from the top.
- You can only suspend a staff if they do not have any job assigned currently. If there is any job assigned to them, you won't be able to suspend them.
- You can follow the same process to reactivate the staff again, just you have to click on the Active icon instead this time.
Permission Definitions
Manage Audit Job
Following are the actions that can be performed if this option is selected from the Roles and Permissions > Staff.
Note: If this option is not selected then, you will only see audit jobs assigned to you in the My Audit Job Queue and Dashboard.
Manage Staff
- Access the Staff menu.
- Add and Edit staff details, including Roles and Permission settings.
Process Audit Job
Access, Process, and Progress the stages of an audit job regardless of Manage Audit Job setting.
My Practice
- View and Manage both Connected and Not Connected firms.
- Add new firms.
- Edit Firm Details and View Firm History.
- Generate Invoices for the funds.
- Create and Post Invoices to Xero.
- Edit and View Invoice Settings, create flat fee structures, or fees based on job complexity.
- Edit, Create, or Delete Add-ons for your billing.
Note: This is an
Optional Feature so if this option is not visible in your
Roles and Permissions setting, it means you have to get it activated. To activate

Analytical Dashboard
View the Analytical Dashboard for My Practice and Firm.
Analyse and view Job Analysis, Contravention Analysis, Revenue Analysis, Staff Performance, and Reports.
- Access Firm-Specific Analysis for both Connected and Not Connected clients.
