Workflow Module

Introduction

The Workflow Module in Workpapers Sorted helps firms manage jobs through a structured and customisable workflow process. It allows firms to create workflow stages that align with their internal operational requirements, while improving visibility, collaboration, and job tracking across teams.
The Workflow Dashboard provides a central location to monitor job progress, manage assignments, and collaborate more efficiently throughout the engagement lifecycle.

How to create work flow

Step 1:-
Log in to the platform and navigate to the Settings>>Workflow.

Step 2:-
Click on Add Workflow to create a new workflow and customise the process for your jobs and entity types.


Step 3:-
A pop-up window will appear where you can enter the required workflow details.
Add the following information:
  1. Workflow Name
  2. Applicable Entity Type or Job Type
  3. Workflow applicability settings
Step 4:- 
After creating the workflow, begin adding workflow statuses and transitions.


Step 5:-
 Configure action items for the created workflow and manage workflow visibility settings.





Managing Jobs in Kanban View

The Kanban View provides a visual workflow layout where jobs are grouped based on their workflow stages. This view helps users easily track the movement and progress of jobs throughout the workflow lifecycle.

Step 1:-
Once inside the Workflow Dashboard, select the Kanban View option.
Step 2:-
You will now see jobs displayed under different workflow stages such as:
Pre Job
In Progress
Review
Completed
Deleted



Each stage is displayed in a separate column for better workflow visibility.
NotesNote: The Workflow Dashboard provides both My Jobs and All Jobs views, allowing users to either monitor jobs specifically assigned to them or gain complete visibility across all jobs within the organisation.

Step 3:-
Filter option: You can filter by different views for a better view

Step 4:-
The Manage Columns option allows users to customise the job view by selecting which columns and job information should be displayed within the Workflow Dashboard for better visibility and easier workflow management.
Step 5:-
Hover over or expand a job card to view additional information related to the job.
Expanded job cards may display:
Entity Type
Group Name
Due Date
Preparer
Reviewer
Step 6:-
Use the available quick-action options on the job card to manage the job directly from the dashboard.
Available actions include:
Add Notes
Edit Assignee
Upload Documents
View Documents
Delete Job





 Jobs in List View

The Workflow List View allows users to organise and review jobs in a structured format, with options to view jobs either as a standard list or grouped by categories for improved visibility and easier workflow management.
