Creating and Processing a Manual Job

How to to Import Fund, Process Job, and Map Buckets.

Introduction

With our latest update, users can effortlessly upload Trial Balance in PDF, CSV, XLSX, and XLS formats. The system automatically stores mapped data at the company level, reducing job processing time. Explore the power of AI-driven extraction, analysis, and display of financial data. To streamline your workflow when uploading the Trial Balance while creating a Manual Fund from SMSF Auditomation and uploading the Trial Balance, follow these steps:

Step 1: Import Fund and Create Job

(A) From Manage Funds

1.  Navigate to the Audit > Manage Funds.

2.  Now Import Fund for Manual Jobs. For more information Click Here

3. Click on the Create Audit Job icon for the selected fund (for jobs created internally)

(B) From Submitted By Accountant


1. Click on Audit > Manage Jobs > Submitted By Accountants. Click on the Create Audit Job icon for the selected fund (for jobs received externally)

2.  Select Job Type, Financial Year, Accounting Software, and Assigned Staff.
3.  Click Create and Next.

4. On the next screen, you have the option to select supporting documents for the fund from your device by clicking on Browse Files, or you can skip this step.

5. Your job will be successfully created, and you can view the relevant job details on your screen.
6. Click on Audit Job Queue or you can also click on Audit > Manage Jobs, > Audit Job Queue page.

Step 2: Process Job and Upload Trial Balance

 1.In the Audit Job Queue, click on the Process Audit Job icon to initiate the job processing.

2.  On the appearing screen;

(a) You can directly upload Trial Balance documents in PDF, XLS, XLSX and CSV formats.

NotesNote:- Some Trial Balance Formats are supported by Cloudoffis like; MYOB, Handiledger, and more.

(b) If your format is not-supported, then use Cloudoffis Trial Balance format.

NotesNote:- Send the format you tried uploading, on support@cloudoffis.com.au, we will try adding the format support for future functionality

3.  After uploading, click on Process Trial Balance.

Note:- The trial balance process will start and be visible on your screen. During this process, data will be read and extracted from the uploaded document in the appropriate manner.

Step 3: Map Buckets

 1. The trial balance will open in a new tab. Map the unmapped transactions and line items to the relevant buckets.

2.  You can select the accounts and map them in bulk. Select the accounts by clicking on the checkbox next to the Account Number. Now click on the Map to icon and then click on the drop-down and select the bucket where you want to map the account.

Step 4: Add Account

1.  You can also click on the Add Account button from the top right. Add mandatory details like Account Number, Account Name, QTY, Current Year Debit, Current Year Credit, Previous year, Debit/Credit and Map Buckets to add a completely new account from this page itself.

2.  As you scroll down, you'll notice that some line items have been automatically mapped to the relevant bucket.

Note: The system automatically stores mapped data at the company level which automatically maps the line items or transactions to the same bucket as in the previous year.

Step 5: Save and Review

1. You can click on Save and Review, to save the incomplete mapping.

2. Clicking on Save & Preview will redirect you to a new tab where you can view all the Mapped and Unmapped transactions together and you can refer to and match the financial data as well.

3. Once done with mapping click Proceed. The trial balance will be moved to the relevant buckets on the Process page from the Fund Dashboard.

Note: If there are any remaining line items or transactions left to be mapped, the Proceed button will remain disabled.
You can continue your work from the Process page on the Fund Dashboard
