Uploading Document

Introduction

We have expanded access to the Document Management System (DMS) at the business level, making it easier to locate and tag documents. You can easily upload a document in SMSF Sorted Lite using either of these two options:
Option 1: Uploading from the Audit Console Page(Action Icon)
Option 2: Uploading from Audit Console Page (Document's Column)
Option 3: Uploading from the DMS Page
Option 4: Uploading from Class Trial Balance 

The steps to upload documents for each option are the same. However, the Upload Document option is available on multiple screens which has been explained below:

How to Upload a Document

Step 1(Option-1): Click on the 3 dot action menu icon and select the Upload Documents option.



Step 1(Option-2): Click on any number you see under Documents column alongside the respective Fund Name.



Step 1(Option-3): Go to business-level DMS from the Audit Console page, search for the relevant fund, and then click on the Upload Documents button.



Step 1(Option-4)Login to Class Super, go to Fund > Reports > Trial Balance, and click on the Documents > Upload button.



Uploading Documents from Local Drive

Step 2: On the appearing slider, you will have two options; either you can upload docs from Local Drive or you can upload from Class DMS.



Step 3: Select Local Drive, this will open your local drive.
Step 4: Select the documents that you want to upload and click on Open button.



The document will be uploaded and the status of the upload will be visible at the top of your screen. 

Step 6: You can Close the slider or continue uploading other documents.



Notes
Note: As soon as the documents are uploaded they are processed for OCR automatically and converted into system readable docs so as to enable the searching within the documents. 

Uploading Documents from Class DMS

Step-2: If the documents are already uploaded to Class DMS, you can load them into Sorted Lite directly from Class DMS by clicking on the Class DMS option.  


Step-3: Clicking on the Class DMS opens the list of documents of Class. Select the checkbox of documents you want to upload and then click on the Open button as mentioned below. 


Step-4: Once the documents are uploading to Sorted Lite from Class DMS, all the tags added in Class remains unchanged. 


Submitting Additional Documents to Auditors.

Once you have already submitted the Job to the auditor, instead of re-submitting the whole job once again, you can simply share the additional documents.

Step 1 - Upload the documents and head over to the Unsorted folder of a Submitted Job.
Step 2 - Select the documents and click on Submit to Auditor button.



Step 3 - Click on Yes from the appearing pop-up.
Notes
Note: Notify checkbox will send a notification to auditor in regards to the documents submitted and it will be automatically selected you can click on it to unselect if required. 



Step 4 - The documents will be submitted and you will receive a confirmation toast message on your screen.



The documents will be available for use under Unsorted folder of DMS.
