The below instructions will assist you in adding staff members as users to your Cloudoffis portal.

Creating Users

From the Admin menu select Staff



Select Create New Staff (top right of screen)



Select Role and choose from drop down menu (refer below for roles & definitions)



Enter details as prompted


Roles & Definitions


There are a variety of roles for Cloudoffis users and varying permissions to apply to each role.

Each role is significant to how you apply your work flow progress to an audit, the work flow is progressed manually so you can apply your own process. While assigning an audit there are 3 user roles to select as per below. This is designed to suit all sizes of firms from sole operators performing all stages to larger firms with 2 levels of review before sending job for signing off by the auditor and medium sized firms with one level of review before sending job for signing off by the auditor.

When creating an internal audit job you will be prompted to assign 3 roles;

Important Note: The below example is for firms using 2 levels of review before signing off by the auditor. If you are performing all roles or only use one level of review simply enter the same user for each appropriate role. There is no restriction to how many roles each user performs.
  • Auditor - Only an auditor or Company Admin (with Auditor credentials loaded) can be assigned this role
  • Audit Preparer - Designed for 1st level of review
  • Manager - This role is designed to review the work entered by the Audit Preparer prior to sending to auditor

Auditor

This role is for licensed auditors and certain functions are limited to this role (eg signing off an audit). While creating this role you will be prompted for additional details including.

  • Phone

Manager

This role is designed for users who review (and create dependent on permissions) audit jobs and send to auditor for signing off.

Audit Preparer

This role is designed for users who perform the first level of review (and create dependent on permissions) for audit jobs prior to assigning it to a manager for the second level of review.

Administrator

This role is designed for unrestricted access and all functions (except purchasing additional files) can be performed by default. Users with the Administrator role will be able to see all jobs on the dashboard, once a status is selected a filter can be applied to only focus on jobs assigned to the user.

Company Admin

This role is unique and there can be only one Company Admin, the role is completely unrestricted. If the Company Admin is an auditor, audit credentials can be added and the user can be selected as an auditor during audit job creation. This user will also have permission to purchase additional files once our new subscription module is released (due Oct/Nov 2018).

NOTE;
  • Only the Company Admin (or Cloudoffis from the back end) can edit their own credentials within their Profile.
  • This role is created by default using the email used to register for Cloudoffis.
  • The Company Admin role can be applied to another user but only by the Company Admin. For a complete guide for this process please refer here
