Invoicing from the Job

Users can provide the fee details, generate invoice or see invoice status from the below mentioned pages in the job:
  1. Fund Dashboard
  2. Quick Box from the job

Invoice Status are as below if Integrated with Xero

  1. Not Generated - All the jobs that have been created after the activation of the Billing Module will be displayed here.
  2. Draft - If the Invoice is Saved as Draft then the status will display as Draft.
  3. Ready to Invoice - While reviewing and editing the invoice, you will have a checkbox to mark the invoice as Ready to Invoice. This is for you to segregate the invoices that you need to generate in Bulk.
  4. Awaiting Payment - Once you have posted the details to Xero, the invoice will display as Awaiting Payment until Paid. This status will also be pushed and pulled from Xero.
  5. NotesNote: A copy of the invoice will be received in your SMSF Auditomation portal. 
  6. Paid - The Invoices which are paid will display the status as Paid.
  7. Void - Those invoices that have been marked as Void in Xero will display the status as Void.  

Invoice Status are as below if not integrated with Xero

  1. Not Generated - If the Invoice is not generated yet then the status 
  2. Draft - If the Invoice is Saved as Draft then the status will display as Draft.
  3. Generated - Once you have generated the invoice, the invoice status will display as Generated. 

What can the users do?

  1. View Invoice Status
    1. All users who has the access to the job will have the ability to view the invoice status from the Fund Dashboard. 
  2. Audit Fee Details 
    1. This is the option to add or edit Audit fee details for the job. 
    2. This option available to all the users who has the access to the job. 
  3. Generate Invoice 
    1. This is the option to add or edit Audit fee details for the job. 
    2. This option available to the users given access to Manage Billing from the roles & permission. 

How to add/edit Audit Fee Details?

Step 1: From the Fund Dashboard, click on the Invoice Status drop-down.
Step 2: Select Audit Fee Details.



Step 3: This will allow you to view and edit the invoice details for that fund. Once you have made changes, click on Save as Draft.




Generating Invoice

To generate an invoice for a specific job, follow these steps:
Step 1: Click on Not Generated drop-down from the Fund Dashboard.
Step 2: Click on the Generate Invoice icon.



Step 3: In the pop-up, select the appropriate Fee Type and Add-ons and review.



Notes
Note: Any changes made will be applicable only to this job, and hence it will not affect any other job even if it belongs to the same firm.
Step 4: Verify invoice details and click Next again.

Step 5: Now, you can save the invoice as draft or Post to Xero/Generate Invoice as needed. You can also click on Back or Cancel or select the Ready to Invoice option while saving the invoice as draft for bulk invoice generation.

Step 6: Once done, you'll receive an action confirmation toast message at the bottom of your screen.
