Understanding OCR Processing in SMSF Sorted
Introduction
OCR = Optical Character Recognition, the identification of printed characters using photoelectric devices and computer software.
OCR enables the Cloudoffis search function to locate and direct users to the page the figure or text is located. It converts any scanned document into digitised format. The document search and AI features do not work on docs unless they are system readable docs.
All documents converted will have OCR_ added to the front of the document name.
Uploading Documents and Processing OCR
While Uploading Document, the Auto OCR checkbox is selected by default. You can simply upload the document as usual and make sure the OCR checkbox is selected. This will process OCR on the document
Uploading Documents Without OCR
- This feature helps you to upload documents in their original form without running OCR on them.
- While uploading a document, you can click on the checkbox Auto OCR and unselect the option to upload the documents without running OCR on them. The Auto OCR checkbox will be selected by default, by unselecting it, you confirm that you want to upload the documents in their original form.
- This feature will help you to save time by not running OCR on unnecessary documents. If the data in any document has been manipulated while processing OCR, you can delete the OCR-processed document and upload it again in its original format.
Tracking OCR Status for documents
Once you upload the document, the OCR status can be tracked from the top taskbar by clicking on the cloud icon.
Understanding Document Compatibility with OCR
To know if your document is compatible or not with the OCR, we have used different icons for different type of document. Refer to the attached screenshots and the points mentioned below for thorough understanding:
- If you see an icon same as shown below, it means OCR has been processed on the document.
- If you see an icon same as shown below, it means that the document is OCR compatible but OCR has not been processed on the document(Appears if the Auto OCR is manually unselected while uploading the document to upload the document without performing OCR process on it).
- If you see an icon same as shown below, it means OCR is not required for the document.
